From receipts to the ledger: AutoCount, SQL Account, Xero, QuickBooks & Bukku
Malaysian accounting firms live in AutoCount and SQL Account; younger SMEs pick Xero, QuickBooks or Bukku. Whatever your accountant uses, instead of retyping every receipt they receive a file that is already structured — business expenses only, with account codes, receipt numbers, dates and SST split out. The personal share never leaves.

Five formats, one source
- AutoCount — Cash Purchase: DocNo, DocDate, CreditorCode, CreditorName, MainGLAccount, ItemDescription, TaxType, TaxRate, TaxAmount, Amount, TotalAmount, Ref.
- SQL Account — General Journal: Debit the expense account (+ Debit SST) and Credit Cash/Bank per document; total Debit always equals Credit.
- Xero — supplier bills (ContactName, InvoiceNumber, InvoiceDate, AccountCode, TaxType, TaxAmount, Currency MYR) for the Bills import.
- QuickBooks Online — expenses (Date, Payee, Payment account, Category, Amount, Tax amount, Memo, Ref no.).
- Bukku — expenses (Date, Contact, Reference, Description, Account, Amount, Tax Code, Tax Amount, Total) for the Malaysian cloud accounting software.
- Default account codes follow the Form B category (purchases, travel, promotion, entertainment…) — the accountant remaps inside the software; the columns stay the same.
SST split honestly
When a receipt shows SST (an "SST 8%" line or a tax amount), the tax component goes to the tax account and the net amount to the expense account; the rate is read from the receipt and checked against that year's official rate (rules that update themselves, not hard-coded). Receipts with no SST mention are exported without tax — nothing is estimated.
For accountants & firms
- Invite the accountant as an auditor: read-only, sees the original receipts, downloads exports and the audit pack themselves — with their existing account (many clients, one login).
- Any date range — monthly, quarterly or yearly; the file is named by range.
- Mixed personal/business receipts: only the business share is exported, with the receipt number as reference.
Frequently asked questions
Do I need AutoCount, SQL Account, Xero, QuickBooks or Bukku?
No — the file is plain CSV that also opens in Excel or Google Sheets. The format only sets the column order so the accountant's software imports it without remapping.
Is income exported too?
This export is for expenses (purchase documents / expense journal). Income, assets and capital allowances are in the Form B report and the JSON backup in the Records tab.
